Overview

Members and permissions helps owners and authorised team members control what each person can do in an organisation. Use it when you need to invite colleagues, review existing users, or adjust access for tasks such as approvals, billing, email automation, and report history.

Open members and permissions

Go to Settings, then choose Organisation Settings. Open the Members tab and select a member from the table. Each member has a full page showing their details, permissions, and recent activity when you have access to view it. Admins and owners always keep full access to every permission.

Member details

The member page shows the person’s name, email address, organisation role, and the date they joined. If you are reviewing your own record, EveryWealth marks it as You.

Permission types

Permissions are organised into tabs by area. Each tab shows how many permissions are allowed, so you can review access at a glance. On smaller screens, scroll across the tabs to see every area.

Update a user’s permissions

1

Open the member

Go to the Members tab in Organisation Settings and select the person you want to review from the table.
2

Choose an area and toggle access

Select the relevant permission tab. Turn a permission on to allow that person to perform the task, or off to remove that access.
3

Check the result

Changes save automatically. Wait for the confirmation before making another change. If saving fails, the switch returns to its previous setting and a message explains the problem.

Who can change permissions

  • Nobody can change their own permissions. Ask another owner or admin to do it.
  • Owners and admins can turn any permission on or off for other members.
  • A member with Manage permissions can only turn on, or turn off, permissions they hold themselves. For example, if you do not have Manage subscriptions, you cannot give it to someone else or take it away.
  • Admins and owners always keep every permission. To limit an admin’s access, an owner or admin first changes their role to Member.

Governance access

Open the Governance permission tab and turn on View governance first. This lets a member open the workspace and read the documents, deadlines and conversations they have access to. The remaining switches let you choose which actions they can take. Turning off View governance prevents Governance access, even if other Governance switches remain on. For example, a board member might need viewing, downloading and commenting, while a secretary may also need to manage documents, folders and deadlines. Viewing restricted folders, using the assistant and viewing activity are separate choices. Document-management access alone does not grant them. See Governance access for the full permission list.

Admin access

When an authorised person changes a member’s role to Admin in the Members table, every permission is granted automatically. Admins and owners show All permissions, with their switches on and locked. To limit someone’s access, change their role to Member, then review each permission tab and turn off the access they no longer need. Changing the role alone does not clear permissions previously granted.
  • Nobody can change their own role. To hand over an organisation, an owner makes someone else an Owner, and that person can then change the previous owner’s role.
  • Only owners and admins can make someone an Admin or change an admin back to Member, so a member with Manage members can remove people but cannot make anyone an admin.
  • Only owners can change another owner’s role or promote someone to Owner.
  • Only owners and admins can connect, disconnect or change the Xero, MYOB, Google and Microsoft integrations. Members can still view them and use a connection that is already set up.

Accepting an invitation

When a person is invited during workspace setup, the owner can choose their role and open Specific permissions to decide exactly what they can do. Those permissions take effect when the person accepts the invitation. Admins and owners always receive full access. When you invite someone, they receive an email with a View invitation link. Opening it shows who invited them and which organisation they are joining. Invitation links stay available for seven days. The expiry date in the invitation and reminder emails is shown in your organisation’s timezone, set in your organisation settings (New Zealand time if none is set). If the invitation is still pending two days before it expires, EveryWealth sends the person a reminder email with another Accept invitation link. If the person does not accept before expiry, send them a new invitation from the Members tab. EveryWealth checks the email address the invitation was sent to and guides the person to the right next step:
  • Already have an account: they are taken to sign in, with their email already filled in. They just enter their password (or use a passkey or sign-in link) to accept.
  • New to EveryWealth: they are taken to a create-account form. Their email is already filled in and locked to the invited address, so they only need to add their name and a password. They then confirm their email and set up two-factor authentication to secure the account.
After they sign in, EveryWealth shows the invitation prominently at the top of Home. They select Accept invitation beside the organisation they recognise. EveryWealth then adds the organisation to their account and opens its workspace. If several organisations have invited them, each invitation appears separately. They can review the organisation, their role, and the date they need to accept by before choosing Accept invitation.

Remove organisation access

An owner or someone with Manage members permission can remove a member from the organisation. Only owners and admins can remove an admin, and only owners can remove another owner. After removal, the person’s existing sign-in no longer grants access to that organisation. They keep access to other organisations where they are still a member. Removing a member does not prevent the person signing in to their EveryWealth account. If the whole account needs to be blocked because of a security concern, contact EveryWealth support.

Activity

The member page can show recent activity, such as joining the organisation, permission changes, role changes, sign-ins, and audit history. Activity is only shown to people with the right access. If you cannot view activity, the page explains that the section is restricted.

Good practice

Give each person only the access they need for their role. Review permissions when someone changes responsibilities, leaves the organisation, or starts helping with approvals or automation.
